Never get caught
by an expired COI.

CertPilot tracks every subcontractor certificate of insurance and reminds you at 90, 60, 30, and 7 days before anything lapses. Upload the ACORD-25 — we handle the chasing.

The spreadsheet is not a compliance program

One uninsured sub on your job site during an incident can shift liability to you. Owners and lenders hold payment until valid certs are on file — no cert, no check.

Chasing renewals in an inbox is somebody's full-time job. TradeGuard's Starter is $149/mo for 25 subs; VendorValid starts at $49/mo. Nobody serves the small-GC segment at $29 with the full loop.

TradeGuard Starter: $149/mo for 25 subs.
VendorValid: from $49/mo.
CertPilot Starter: $29/mo for 50 vendors — ~5× cheaper than TradeGuard at the entry tier.

How it works

  1. Upload the ACORD-25
Coverage, insurer, policy number, dates, and limits extracted automatically from the form's text layer.
  2. We watch every expiry
Automatic reminders at 90/60/30/7 days, plus an expired alert. Idempotent — re-runs never duplicate.
  3. See your compliance picture
Per-vendor status: compliant, expiring soon, expired, or no certs on file.

Why CertPilot

ACORD-25 extraction

Upload the PDF; insurer, policy numbers, effective/expiration dates, and each-occurrence/aggregate limits come out automatically. Incomplete extractions are flagged for human review.

90/60/30/7-day reminders

The full chasing loop, automatic — plus an alert on expiry day.

Compliance dashboard

Every vendor, one status. CSV export for the trailer office.

$29 flat for 50 vendors

The spreadsheet-replacement no-brainer. Pro and Scale grow with you.

Questions, answered honestly

Do you verify the certificate is real?
No — we track what the document says and remind you before it lapses. Verification of authenticity and coverage adequacy stays with your broker/agent and counsel.
What if the PDF is a scan with no text layer?
Extraction finds nothing and the certificate is flagged needs_human_review — a person looks at it. OCR is not in v1.
Which coverages do you track?
General liability, auto, workers' comp, umbrella, and other — per certificate, per vendor.
Do you integrate with Procore or QuickBooks?
Vendor import from Procore and QuickBooks Online is on the roadmap for the Scale tier — not live yet.
